Creating and Sending a Quote

How to build a quote, send it to a prospect, and convert an approval into a work order.

Quotes let you send a professional estimate to a prospect before any work is scheduled. Once a client approves, IRONGRID creates the work order for you automatically.

Quotes & Estimates are available on the Pro and Business plans.

Creating a quote

Open the Leads section from the main navigation and tap New Quote. Fill in the following:

Sending the quote

When you're ready, tap Send Quote. IRONGRID sends an email to the client with a link to a secure approval page. The client does not need to create an account. The link takes them directly to the quote.

The quote's status changes to Pending and it appears in your Active leads list. If the client hasn't responded after 7 days, a follow-up chip appears on the leads list to remind you to check in.

What the client sees

The client opens the link and sees a clean, mobile-friendly page with the quote number, line items, total, and any notes you included. Two buttons appear at the bottom: Approve and Decline. Tapping either records their response immediately.

What happens when a quote is approved

Approval triggers two things automatically: the quote status changes to Approved and a new work order is created with the quote details pre-filled (client, title, scope, and all line items). You'll see the work order linked directly from the quote detail page.

The work order starts in an open state. From there, assign crew, set a start date, and run the job as normal.

Quote statuses

Draft
Quote created but not yet sent.
Pending
Sent to the client, waiting for a response.
Approved
Client approved. Work order created automatically.
Declined
Client declined the quote.
Expired
Quote passed its expiry window without a response.
Accepted – Not Scheduled
Approved but the linked work order has no start date yet.

Editing a quote

You can edit a quote that hasn't been approved or declined yet. When you save edits to a sent quote, a new version is generated and the previous approval link becomes inactive. The client will receive an updated quote email with the new link.

Quote expiry

Quotes that receive no response within your configured expiry window (default: 30 days) are automatically marked Expired. You can adjust the expiry window in your company settings.

Closing a quote

Approved, declined, and expired quotes move to the Closed tab in your leads list. You can view them at any time from the All tab.
