Recurring work orders let you set a job to repeat on a fixed schedule — weekly, bi-weekly, monthly, every two months, quarterly, or annually. Once configured, IRONGRID automatically creates the upcoming occurrences so your crew always has a full schedule without you recreating the same job by hand.
How recurring work orders work
When you set a work order as recurring, IRONGRID pre-creates a rolling eight weeks of future occurrences. Each occurrence is its own independent work order with the client details, scope description, tags, and settings from the series template carried over. As time passes, new occurrences are added automatically to keep the eight-week window filled.
Setting up a recurring series
Open the work order you want to make recurring, then tap the Recurring button in the header (visible to admins and managers). The recurring setup modal will open.
- 1Choose a frequency — Weekly, Every 2 Weeks, Monthly, Every 2 Months, Quarterly, or Annually
- 2Set the job duration in days (how long each occurrence lasts)
- 3For monthly and longer frequencies, choose the day of the month (1–28) each occurrence falls on
- 4Set a start date for the series
- 5Optionally set an end date if the series has a known finish
- 6Tap Save — IRONGRID immediately creates the upcoming occurrences
Monthly day is capped at 28 to ensure every occurrence falls on a valid date regardless of the month. If your service falls near month-end, use 28 as a reliable anchor.
Editing a recurring work order
When you edit a work order that belongs to a recurring series, IRONGRID will ask you whether to apply the change to just this occurrence or to this and all future occurrences.
- Just this occurrence — only the current work order is updated. Future occurrences keep their existing details. Use this for one-off changes like a different crew or a special task on a single visit.
- This and all future — the current work order is updated and all future (non-complete, non-cancelled) occurrences are regenerated from the series template with the new details. Use this when something about the recurring job has changed permanently.
Skipping an occurrence
To skip a single visit without cancelling the series, open that occurrence and use the Skip Occurrence option. The work order is marked as skipped and removed from active views, but the series continues unaffected.
Turning off a recurring series
Open any work order in the series and tap Recurring in the header, then choose Turn Off Recurring. All future occurrences (those not yet complete or cancelled) will be deleted. Past and in-progress occurrences are preserved in your job history.
Assigning recurring work orders
When assigning a team member to a recurring work order from the Manager Dashboard, you'll see three scope options:
- Just this work order — assigns the team member to this specific occurrence only
- This and all future — assigns the team member to this occurrence and all upcoming occurrences in the series
- All work orders in the series — assigns the team member to every occurrence, including ones before this date
When assigning to multiple occurrences at once, the team member receives a single notification mentioning the recurring frequency rather than one notification per occurrence.
Recurring work orders are available to all admins and managers on every plan. Employees can view and work on recurring occurrences assigned to them just like any other work order.
