Client sharing lets you give a customer a private link to view their job — its status, schedule, checklist, photos, invoices, and any updates you choose to share. The link is read-only: clients can see what you share, but they can't edit anything or log in. Client sharing is available on the Business plan.
How to share a work order
- 1Open the work order you want to share.
- 2Click the Share icon in the top-right of the work order.
- 3Enter the client's email address. This is where the link and future notifications will be sent.
- 4Choose which sections the client can see by toggling them on or off.
- 5Click "Enable sharing & send link." The client is emailed the link right away.
Once sharing is enabled, a private link appears in the Share window. You can copy it at any time to send it through another channel. The Share icon turns highlighted so you can tell at a glance that a work order is being shared.
Choosing what the client sees
You control exactly which parts of the work order are visible. Each section can be turned on or off independently:
- Client info — name, address, phone, and email on file
- Scope of work — the job description
- Schedule — start and completion dates
- Task checklist — subtasks and their completion status
- Photos & files — attachments and images on the work order
- Invoice history — invoice amounts and payment status
- Updates — posts you've specifically shared with the client (see below)
The client only ever sees the sections you turn on. They never see your internal activity log, team hours, cost calculations, or any post you haven't explicitly shared with them.
Sharing an update with the client
Your internal activity log stays private by default. To share a specific message with the client, post an update and turn on the "Share this update with the client" option before posting. Only those posts appear in the client's Updates section, and the client is emailed when you share one.
What the client receives by email
After sharing is enabled, the client automatically receives an email — sent under your company's name — when any of the following happens:
- Sharing is first enabled (the email includes their link)
- The work order's status changes
- A checklist task is marked complete
- You share an update with them
Clients don't get notified about anything else, and there's no notification when the job is simply opened — emails only start once you enable sharing.
When the link expires
A shared link automatically expires 30 days after the work order is both marked complete and paid. After that, the client sees a message letting them know the link is no longer active. If you reopen the job or mark it unpaid before then, the expiration is cleared and the link stays active again. The expiration date is shown in the Share window whenever it's set.
Updating or turning off sharing
Reopen the Share window any time to change the client's email, adjust which sections are visible, or copy the link again. To stop sharing entirely, click "Disable sharing" — the link immediately stops working and the client can no longer view the job.
Shared links are private and are not indexed by search engines. Only someone with the exact link can open it, so share it directly with your client.
