Time Tracking Software Built for Field Service Contractors

Log crew hours per job, per person, in real time. Know exactly what every job cost in labor before you write the invoice.

Most contractors still collect hours at the end of the week through a text message, a handwritten note, or someone who forgot to write it down at all. By the time you're putting together a timesheet, the details are fuzzy and the numbers are estimates.

IRONGRID logs hours at the job level, in real time, by the person who did the work. Every entry is tied to a specific work order so your labor data is always accurate, always organized, and always ready when you need it.

Logging Hours

Log hours directly on the work order, from any device

Logging hours in IRONGRID happens on the work order, not in a separate timesheet. Team members open their job, enter their hours, and hit submit. Takes about ten seconds. Every entry is tied to that specific job so your labor data is always organized where it belongs.

  • Log hours from any device, no app download required
  • Hours tied to the specific work order they belong to
  • Log time alongside notes and photos in a single update
  • Admins can add missed entries for any team member
  • Timestamps on every entry for an accurate audit trail

Per-Person Tracking

Time tracked per person, per job, never pooled or estimated

Every team member logs their own hours independently. If three people work the same job, you see three separate time entries with names and timestamps. No averaging, no guessing who did what, no reconciling a single total at the end of the week.

  • Individual time entries attributed to each team member
  • Multiple team members can log hours on the same job
  • Subcontractor hours tracked separately from employees
  • Full visibility into who worked what and for how long
  • Admins can edit or correct any entry at any time

Labor Costs

Logged hours feed directly into work order labor costs

Hours logged on a work order roll up into the labor cost summary automatically. Set hourly rates for your team members in Admin settings and IRONGRID calculates your labor cost in real time as hours come in. No spreadsheet, no manual math. Labor cost totals require a one-time rate configuration in the Cost Summary section of Admin settings. Once that's set, everything calculates automatically from there.

  • Labor cost summary visible on every work order
  • Hourly rates set per team member in Admin settings
  • Real-time cost calculation as hours are logged
  • Compare estimated vs. actual labor cost per job
  • Export time data for payroll processing

How time tracking works in IRONGRID

From first log to payroll export in four steps.

1
A team member opens their work order and logs hours
From any device, in any browser. Logging hours takes about ten seconds and can be done alongside a note or photo update.
2
The entry is recorded with their name, timestamp, and hours worked
Every time entry is attributed to a specific person on a specific job. Nothing gets pooled or averaged.
3
Labor costs update automatically
If hourly rates are configured for your team, IRONGRID calculates labor cost in real time as hours come in. No manual math.
4
Admins review, correct, and export
Review time entries from the office, fix any mistakes, and export the data for payroll. Everything is in one place.

Frequently asked questions

Can team members log hours from their phone?
Yes. IRONGRID is a progressive web app that runs in any browser on any device. Team members can log hours from their phone without downloading anything from an app store.
What if a team member forgets to log their hours?
Admins and Managers can add time entries on behalf of any team member at any time. You can also edit existing entries to correct mistakes. The corrected entry replaces the original.
Are hours tracked per person or per job?
Both. Every time entry is linked to a specific work order and attributed to a specific team member. If three people work the same job, you see three separate entries with individual names, timestamps, and hours.
Can I track subcontractor hours separately from my employees?
Yes. Subcontractors added to your account log hours the same way employees do. Their entries appear separately so you always know exactly what you are paying employees versus subs.
Can I export time data for payroll?
Yes. Time data can be exported from the Admin Portal for use in payroll processing.
How are labor costs calculated?
If you have set an hourly rate for a team member in Admin settings, IRONGRID multiplies their logged hours by that rate to calculate labor cost on each work order. The labor cost summary appears on every work order detail page.
